Office Support Specialist

Main responsibilities

Facilities Supervision and Maintenance

  • Oversee daily facility operations, ensuring cleanliness, orderliness and functionality.
  • Schedule and facilitate preventive and corrective maintenance for all equipment, utilities and infrastructure.
  • Monitor facility systems, including electrical, plumbing and solar energy systems, to ensure optimal performance.
  • Coordinate repairs and upgrades as required.
  • Procure necessary equipment, services and consumables.

Service Teams Supervision/Facilitation

  • Supervise external contractors and in-house service teams.
  • Develop and maintain service contracts to ensure value and quality.
  • Ensure service-related tasks are completed on time and meet the required quality standards.
  • Procure and deliver service-related items, including staff refreshments.

Security and Access Control

  • Monitor biometric, access-control, surveillance and alarm systems.
  • Coordinate with security personnel to maintain a safe working environment.
  • Ensure compliance with safety protocols and emergency procedures.

Sustainability and Energy Monitoring

  • Monitor and maintain solar energy systems to support efficiency and sustainability.

  • Conduct regular risk assessments and recommend facility improvements.
  • Facilitate fire drills, safety training and emergency-preparedness plans.

Wellness Programmes

  • Contribute to wellness programmes that support employees’ physical and mental well-being.
  • Ensure the facilities contribute to a healthy working environment.

Corporate Social Investment Projects

  • Support the management and development of Corporate Social Investment projects aligned with organisational values.
  • Coordinate volunteer activities and community-engagement initiatives.

Project Facilitation

  • Oversee building projects, renovations and expansions, including timelines, budgets and contractors.
  • Ensure all projects meet the required safety, quality and compliance standards.
  • Complete project-related administration, procurement and budgets.

Minimum requirements

  • Bachelor’s Degree.
  • Health and Safety Certification would be advantageous.
  • Proven experience in facilities coordination, office support or a similar role within a corporate environment.
  • Experience supervising service teams, contractors and maintenance projects.
  • Knowledge of and experience with security systems, biometric access control and building-automation systems.
  • Experience with energy-management systems, including solar, electrical and water systems.
  • Experience in health and safety protocols and company wellness programmes.

IT Desktop Support Technician

Main responsibilities

  • Installation & Configuration: Set up, install, and configure desktop systems, including operating systems, software, and hardware. Handle moves and changes as requested by line managers.
  • User Assistance: Respond to support requests via phone, email, and ticketing systems. Provide guidance and basic training to users on system usage and best practices.
  • Technical Support: Provide timely desktop support for hardware, software, and network issues. Troubleshoot and resolve problems related to operating systems, applications, printers, and peripherals. Perform onsite diagnosis and resolution of complex desktop issues
  • Maintenance: Perform routine maintenance and updates to ensure system security and performance. This includes applying patches, updates, and antivirus solutions, and installing components such as CPUs, I/O and NIC cards, hard drives, RAM, memory chips, and CD-ROMs. Ensure all physical connections (e.g., RJ-45 Ethernet ports, RJ-11 modem jacks, and PC-to-server connectors) are functioning properly.
  • Inventory Management: Monitor and manage IT inventory, including desktops, laptops, and peripherals. Ensure accurate asset tracking and documentation.

Minimum requirements

  • Completed IT Related degree
  • 1-2 years in desktop support or a similar IT role.
  • Proficiency in troubleshooting hardware and software issues.
  • Environment: Office setting. On-call support may be required during off-hours or weekends
  • Physical Demands: Ability to lift and transport computer equipment and peripherals as needed. May involve extended periods of sitting and computer use. Dexterity of hands and fingers to operate a computer keyboard, mouse, and other computer components.
